Coalville Public Radio (CPR) is the data controller responsible for your personal data.

We may receive messages sent to the studio through a range of communication channels, including:

All messages sent through these channels are directed to and stored within the studio inbox systems.

When you contact the studio, we may collect:

- The content of your message

- Legitimate interests – to manage studio communications and operate the station
- Consent – where you voluntarily provide information, such as entering competitions or contacting the studio

General communications sent to the station may receive a response from the Station Manager or an authorised representative. Where appropriate, you may be directed to a more suitable contact or email address to ensure your enquiry is handled correctly.
We will not use your information for marketing purposes unless you have given clear consent.
5. Who can access messages
Messages received by the studio may be accessed by authorised CPR presenters for the purpose of managing broadcasts, responding to listeners, and ensuring smooth studio operations.
Presenters must only access and use messages for legitimate studio purposes and must not copy, store, or share personal data outside CPR systems.
6. Storage and retention
All messages received are securely stored within studio systems.
Messages will be kept on file for a maximum period of 2 months, after which they will be securely deleted.
7. Competitions and prize draws
If you enter a competition or prize draw run by the station, we may retain your details until the prize has been claimed. This is to allow us to manage the competition, contact winners, and resolve any issues or disputes if they arise.
Once the prize has been successfully claimed and any related matters are resolved, your details will be deleted in line with our data retention policy.
8. Sharing of information
Your information will not be shared with third parties unless:
- Required by law
- Necessary for safeguarding purposes
- Required to fulfil a competition or prize
9. Data security
We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, misuse, or disclosure.
